Next Steps for This Coming Year's Insurance Planning – Maternity Connection {{case_id}}

You are currently enrolled in The Maternity Connection, and your Dedicated Agent with ART Risk is your primary contact throughout this process. As we approach the end of this year, we are outlining the next steps to ensure a seamless transition of insurance into the upcoming year. Each year, the United States offers an Open Enrollment Period under the Affordable Care Act (ACA), during which individuals can enroll in or change their medical insurance. Outside of this period, ACA coverage is only available following a qualifying life event.
During this Open Enrollment period, ART Risk will manage the transition of your gestational carrier from the Maternity Connection Short Term Health Insurance to an ACA Insurance Plan following the steps below - thoroughly read to avoid any surprises:
1. Cancellation of Current Short-Term Medical Policy (Effective 12/31 of this year)
• We will coordinate the termination of the short-term policy with a termination date of December 31 of this year.
• A prorated refund will be requested from the carrier, dependent on the start date of coverage.
• Once the new ACA plan is in place (January 1st of this coming year), we will submit proof of coverage and request the applicable refund.
2. Initiation of ACA Policy Enrollment
• Our team will submit the ART Risk ACA Policy Placement Request Form on your behalf.
• If additional information is needed (e.g., binder payment details, consent forms, HIPAA forms), we will reach out directly to the intended parents, agency, or gestational carrier.
• There may be Action Items that are required of you during this process: Please log into your ART Risk portal to complete any outstanding tasks: ART Risk
3. ACA Policy Quote & Selection
• Your Dedicated Agent will provide you with surrogacy-friendly ACA policy options.
• You will have the opportunity to schedule a consultation with your agent to review the options and ask any questions; we encourage this step to fully understand the new insurance.
• You will log in to your account and select a plan: ART Risk
• Once a plan is selected, our team will coordinate with your gestational carrier to schedule the application appointment with a licensed agent.
• The application appointment will require a binder payment (first month's premium) at that time.
o You will receive information on what forms of payment the insurance carrier accepts.
o Payment arrangements must be made before this application appointment.
4. Policy Confirmation & Premium Monitoring
• We will confirm the new ACA policy is active, obtain the ID number, and verify that the binder payment has been successfully processed.
• Complimentary Premium Bill Monitoring (PBM) is included for two months (the effective month and the following month). During this period, we will resolve any enrollment or payment issues and keep you updated.
• If you wish to extend PBM services beyond the initial two months, please reach out to your Dedicated Agent for details as additional monitoring may be added and is encouraged.
5. PBM Service Conclusion
• In December, you will receive a reminder that PBM coverage (as part of the Maternity Connection Plan) is concluding.
6. NES Assurance
We have a great long-lasting partnership with NES Assurance, who is a third-party claims administration company. They will administer the claims under Maternity Connection. Once we are notified of confirmation of pregnancy, the case is entered into NES database by ART Risk. NES will take the following actions.
Please Note; once the IVF Doctor transfer the maternity care to Ob/Gyn – ensure to use in-network providers.
